I aim to collect only information that is reasonably necessary to provide and manage my tutoring services.

3. Information about children

As Elevate Tutoring provides tutoring to children and young people, I may need to process information relating to a student.

Where appropriate, bookings, payments and communications should be managed by a parent or guardian.

Information about a student will only be used where reasonably necessary to provide tutoring, communicate about their tuition, support their learning, maintain appropriate records, or meet legal and safeguarding responsibilities.

I do not sell children’s personal information or use it for unrelated advertising purposes.

5. Lawful bases for using personal information

Under UK data-protection law, I must have a lawful basis for processing personal information.

Depending on the circumstances, I may process information because:

Contract: it is necessary to provide tutoring services that you have requested or to take steps at your request before providing those services.

Legitimate interests: it is reasonably necessary to operate and improve Elevate Tutoring, respond to customers, administer the business, maintain security and keep appropriate records, provided those interests do not override your rights and interests.

Legal obligation: I need to process information to comply with a legal or regulatory requirement.

Consent: where consent is the appropriate lawful basis, for example for certain optional communications or technologies. You may withdraw consent where processing relies on consent.

6. Payments

Payments for tutoring may be processed using third-party payment providers, such as Stripe or PayPal.

Payment providers process payment information in accordance with their own privacy policies and security procedures. Elevate Tutoring does not need to receive or store your complete payment-card details in order for those providers to process a payment.

I may retain information about a transaction, such as the amount paid, payment status, booking and transaction reference, where necessary for booking administration, accounting and record-keeping.

7. Booking and account information

Elevate Tutoring uses an online booking and customer-account system to manage appointments.

When you make a booking or use your account, information such as your name, contact details, appointments, order information and account details may be processed for the purpose of providing and administering the service.

Automated service emails may also be sent, including booking confirmations, cancellation confirmations and password-reset emails.

8. Who I may share information with

I do not sell your personal information.

Information may be shared with trusted service providers where this is necessary to operate Elevate Tutoring. These may include providers that support:

  • website hosting and security;
  • appointment booking and customer accounts;
  • email delivery;
  • payment processing;
  • website forms;
  • website analytics; and
  • other technical services required to operate the website.

I use HubSpot to help manage enquiries submitted through this website. When you submit a contact form, information you provide, such as your name, email address and message, may be processed and stored through HubSpot. Where consent is required for non-essential cookies or similar technologies, these will only be used in accordance with your consent choices.

I may also disclose personal information where required by law, for safeguarding purposes, or where reasonably necessary to protect someone’s rights or safety.

Service providers should only receive the information reasonably necessary for the services they provide and handle personal information in accordance with their own legal and contractual obligations.

9. International transfers

Some technology and payment providers may process personal information outside the United Kingdom.

Where personal information is transferred internationally, I will take reasonable steps to ensure that appropriate safeguards required by UK data-protection law are in place.

10. How long I keep information

I will not keep personal information for longer than reasonably necessary.

The appropriate retention period depends on why the information was collected, including the need to provide tutoring services, maintain financial and business records, deal with queries or disputes, meet safeguarding responsibilities and comply with legal requirements.

When information is no longer required, it will be deleted, anonymised or otherwise securely disposed of where appropriate.

11. Cookies and similar technologies

This website may use cookies and similar technologies to operate correctly, maintain security, remember preferences and understand how the website is used.

Some cookies are strictly necessary for the website to function and do not require the same type of consent as optional cookies.

Where non-essential cookies or similar technologies require consent, they should not be activated until you have made your choice.

You can also control cookies through your browser settings.

However, no website or electronic method of storing or transmitting information can be guaranteed to be completely secure.

14. Complaints

If you have a concern about how your personal information has been handled, please contact me first so that I can try to resolve it.

You also have the right to raise a concern with the Information Commissioner’s Office (ICO), the UK’s data-protection regulator.
